Google Drive visitor sharing can let a client without a Google Account collaborate through an email invitation and PIN verification, if your organization permits it. Before paying for another client portal, check the actual file, your organization’s sharing policy and the device your client will use.
This guide is for small teams handing documents to external clients. It is a document-based analysis, not a hands-on product review. Official guidance was checked on October 26, 2026. Links are ordinary official links, not affiliate tracking links.
Start with the client’s task
Opening a proposal, commenting on a draft and downloading a folder are different requirements. Write one sentence first: “The client needs to review this document in a desktop browser and leave comments.” A feature that solves that task may fail a phone-only delivery workflow.
| Client requirement | Check before choosing |
|---|---|
| Read or comment without a Google Account | Whether visitor sharing is permitted for the sender and recipient |
| Return after a week | Whether the client can reverify using the original invitation |
| Use a phone or desktop sync app | Visitor limitations; do not assume browser access means app access |
| Download an entire folder | Visitors cannot download folders under Google’s documented limitations |
What the PIN does, and what it does not do
Google’s visitor instructions describe identity verification with a PIN followed by a seven-day collaboration session. Longer collaboration can require verification again through the original invitation. This is a session rule, not proof that the file will be deleted after seven days.
A public link and an invitation to a named recipient are different access models. Do not change confidential material to “Anyone with the link” just to remove a sign-in problem. Ask the owner or administrator to confirm the intended sharing method.
A small acceptance test before a subscription
- Choose one non-sensitive sample that represents the real document format.
- Confirm that the organization permits the proposed recipient and sharing method.
- Send the sample using the intended permission: viewing, commenting or editing.
- Ask the intended recipient to open it on the actual device and complete the actual task.
- Record whether the invitation, PIN, comments and required file handling work.
This test is a recommended workflow; we have not performed it on your account. Avoid using client confidential information as test material.
When this is a poor fit
A phone-only client, a whole-folder download requirement or a policy that prohibits external sharing is a reason to stop and choose an approved delivery method. Visitor sharing is not a general substitute for every portal, storage or account-management feature.
If your current approved workflow is a final attachment with no live collaboration, that may be enough. The tradeoff is separate copies and manual version control. If comments and one current version matter, test the shared-document route first. No new subscription is needed merely to write these requirements down.
Keep a short handoff record
Use this original checklist: file name and version / client task / recipient address confirmed / permission / actual device / test result / review date / person responsible for ending access. Record unknown items as unknown rather than successful.
For the wider client collaboration setup, see our Slack Connect versus guest checklist. When work ends, use an offboarding checklist alongside the access controls of each separate tool.
Next action: run one non-sensitive recipient test before buying another sharing tool.
